How to create, print, and apply labels for Kenya shipments

Label Requirements

Every package shipped through Kentex Cargo must have a properly formatted shipping label. The label is how we identify your package, match it to your account, and route it to the correct receiver in Kenya.

Required Information on Every Label

  • Your Full Name - As registered on your Kentex Cargo account
  • Warehouse Code - Your unique identifier (e.g., KCG-TX-1234)
  • Warehouse Address - The correct Texas or Delaware warehouse address
  • Phone Number - Your contact number for the warehouse team

Air Shipping Labels

Air freight labels have specific requirements for fast processing. Air shipping departs every Wednesday with a Monday cut-off, so having properly labeled packages is essential for timely departure.

Label Format

Standard Format

  • 4x6 inch thermal label (preferred)
  • Standard paper labels also accepted
  • Must be clearly printed, not handwritten
  • Black text on white background

Air Label Includes

  • Box number (assigned by system)
  • Barcode for warehouse scanning
  • Receiver details for Kenya
  • Weight and dimensions

Prepaid Air Box Labels

If you purchased a prepaid air box, your label is automatically generated and available for download in your dashboard. Simply print it at home and attach it to your box before dropping it off at any UPS, FedEx, or USPS location.

Monday Cut-Off: All air freight packages must arrive at the warehouse by Monday to make the Wednesday departure. Packages arriving after Monday will be held for the following week's shipment.


Ocean Shipping Labels

Ocean freight labels are used for packages shipped via sea containers and totes. Visit our ocean shipping page for complete information on ocean freight options.

Tote Sizes and Labels

Ocean shipments use standardized totes that come in different sizes. Each tote gets its own label with your warehouse code and receiver information.

Small Tote

Suitable for clothing, shoes, and small household items

Medium Tote

Great for electronics, appliances, and mixed items

Large Tote

Ideal for bulk shipments and larger household goods

Extra Large Tote

Best for furniture pieces and heavy bulk shipments

Ocean shipping takes 75-90 days but is significantly more affordable per kilogram than air freight. It is the best option for heavy or bulky items that are not time-sensitive.


Where to Place Labels

Proper label placement is critical for ensuring your package is processed quickly and correctly at our warehouse.

Place on Top of the Box

The label should be placed on the top surface of the package where it is most visible. This is the first surface our warehouse staff will see when processing incoming packages.

Ensure Full Visibility

Do not fold the label around edges or corners. The entire label, including the warehouse code and barcode, must be fully visible and scannable without moving or lifting any part of the package.

Protect from Weather

Cover the label with clear packing tape to protect it from rain, moisture, and handling during transit. A damaged or smudged label can cause processing delays.

Remove Old Labels

If you are reusing a box, remove or completely cover all old shipping labels, barcodes, and markings. Conflicting labels can cause the package to be misrouted.


Pro Tips for Shipping Labels

Follow these best practices to avoid delays and ensure your packages are processed as quickly as possible.

Use Clear Tape Over the Label

Always cover your shipping label with clear packing tape. This protects the label from water damage, smudging, and general wear during transit. Make sure the tape covers the entire label, including edges.

Include a Copy Inside the Box

Place a second copy of your shipping label (or a note with your name and warehouse code) inside the box. If the external label gets damaged or falls off, the internal copy ensures your package can still be identified.

Double-Check Your Warehouse Code

Before sealing the box, verify that the warehouse code on your label exactly matches the code in your dashboard. Even a small typo (e.g., KCG-TX-1234 vs KCG-TX-1243) can result in your package being assigned to the wrong account.

Print, Don't Handwrite

Always print your labels using a printer. Handwritten labels are harder to read and more prone to scanning errors. If you must handwrite, use large block letters and a dark permanent marker.

Create a Pre-Alert

After shipping your package, log in to your Kentex Cargo account and create a pre-alert with the tracking number. This helps our warehouse team expect your package and speeds up processing.
